AI Productivity for Mum CEOs: Reclaim Your Week & Sanity

AI: My Secret Weapon for a Productive (and Sane) Week as a CEO, PhD Student, and Mum of Four

Let’s be honest, who *hasn’t* felt the pressure of trying to squeeze 48 hours’ worth of work, family time, and maybe even a sliver of “me time” into a regular 24-hour day? Just last week, I was trying to finalize a presentation for a university conference (PhD life!), while simultaneously managing a new product launch for Femmeprenista *and* keeping my two youngest (a toddler and a baby) entertained. Let’s just say it involved a lot of strategically placed snacks, a very loud rendition of “Baby Shark” on repeat, and a few deep breaths (or maybe more than a few!). If you’re leading an established business – one that’s bringing in consistent income but you crave more freedom and impact (isn’t that what we all want?) – and need to optimise your time & energy while also juggling other demanding roles (like, you know, raising tiny humans and pursuing your own personal growth ambitions – because who says we can’t have it all?), then this one’s for you. As CEO of Femmeprenista, a PhD student researching Black female entrepreneurship, *and* a mum of four (plus two lively Miniature Pinschers – Cappuccino & Espresso, my furry little chaos agents!), I *get* it. The struggle is real, but so is the potential for making serious progress without losing your mind. And my secret? AI.

I’m not talking about some futuristic robot takeover, but practical, everyday AI tools that have become absolute game-changers in my own weekly system. Remember, like Rory Sutherland says, it’s often the small, smart “psychological moonshots” that make the biggest difference. This isn’t just theory – it’s a peek behind the curtain at exactly how I use AI to structure my week, prioritize what truly matters (remember, “Poor people Major in minor things. Wealthy people Major in Major things.” – a gem from Myron Golden!), and achieve more with (dare I say it?) less stress.

From Chaos to Calm: My AI-Powered Weekly System

It’s easy to get caught in reactive mode, constantly putting out fires and feeling like you’re one step behind. Being constantly reactive, as I learned the hard way during my early days at Apple, leads to burnout *fast*. I remember once spending an entire week just responding to urgent emails and putting out small fires, only to realize at the end of it that I hadn’t moved any of my *own* projects forward. It felt like I was on a hamster wheel, working hard but not smart.

But what if, instead of just reacting, you could proactively design your week to maximize both productivity *and* well-being? Remember what Tony Robbins says, “It’s not knowing what to do, it’s doing what you know.” That’s where AI comes in, helping us bridge that gap between knowing & doing.

1. Sunday Strategy Session: Setting Intentions & Defining Priorities

My week starts on Sunday evening, not with dread, but with a focused strategy session – a little bit of “me time” carved out amidst the beautiful chaos. Using a project management tool (Asana is my go-to, and yes, it has AI features!), I map out my top 3 priorities for the week – one for each of my major roles (CEO, student, mum). AI helps me here by analyzing my existing task list and suggesting which tasks have the biggest impact on my overall goals. It’s like having a super-efficient personal assistant who can see the bigger picture and nudge me towards what truly matters. Think of AI as your digital co-pilot for prioritization, helping you focus on what will actually move the needle in your business, even something as seemingly simple as creating a task list.

[Juggler’s Shortcut:] One unexpected benefit? AI-powered prioritisation frees up my mental space. It helps me be truly present when my toddler daughter wants to show me her latest drawing of Espresso chasing a butterfly (yes, even our puppy makes it into her artistic masterpieces!). Instead of mentally running through my to-do list, I can focus on her, knowing my priorities are already set & scheduled.

2. Time Blocking with an AI Twist: Creating a Realistic Schedule

Next, I block out time for these key tasks in my calendar, but with an AI twist. My AI scheduling assistant (I use Calendly’s AI features) considers not just my work commitments but also my family’s schedule, travel time, even those little pockets of time for things like school pick-ups or quick errands (you know, the real-life stuff). This is where AI truly becomes a “System Saviour” for us busy mums. It helps me create a schedule that’s actually achievable, not some fantasy land where I magically have uninterrupted 8-hour workdays. Remember, a schedule isn’t meant to restrict you; it’s there to support you. I design my schedule to work *with* the beautiful chaos of my life, not against it. As a busy entrepreneur & mum, what you really crave is flexibility & control over your time, not another rigid structure. My schedule is my friend, not my enemy. This resonates so much with Layla Hormozi’s principle: “Your business needs to serve your life, not the other way around.”

3. Content Creation & Automation Magic: Making the Most of “Focus Time”

When I do have dedicated focus time (often squeezed in between school runs and nap times – gotta love that mum life!), AI is my content creation secret weapon. Using AI for content creation has increased my output by about 40% – that’s like finding an extra two working days each week! I use AI writing tools like Jasper & Copy.ai (yes, they’re affordable & often have free trials!) to generate initial drafts of blog posts, social media captions, even email newsletters. Now, this doesn’t mean I just hit “publish” – I always review and refine, adding my own voice and insights (because authenticity is everything, right?). But it saves me *hours* of staring at a blank screen, especially when my brain is already frazzled from the morning rush of cleaning glitter glue (my six-year-old’s latest artistic medium) off the carpet. By automating those initial steps in content creation, I’ve been able to increase my content output – more valuable insights shared, more women empowered!

4. Streamlining Communication & Collaboration: Staying Connected

AI also helps me manage the constant flow of communication & collaboration. This is key for any business owner, but especially for us mums who are juggling multiple roles. From scheduling meetings across time zones (Calendly, again, is my lifesaver here!) to summarizing long email threads (I use the tl;dr Chrome extension) or generating quick replies to routine inquiries (Gmail’s Smart Compose is surprisingly handy!), AI tools help me stay connected without getting bogged down in administrative tasks. It’s like having an extra pair of hands (and a super-organized brain) to handle those little things that can eat up your day, freeing up my time & mental space to focus on strategic work & being present with my family. Through smart use of AI tools for streamlining communication, I’ve managed to free up about an hour each day – that’s an extra working day per week!

Handling the “But… AI?!” Objections

Now, I know what you might be thinking: “AI sounds great, but isn’t it expensive? Complicated? Impersonal?” These are totally valid concerns, & ones I had myself initially. In fact, I remember trying to use a fancy AI-powered social media scheduler a few months back, and it was such a disaster! The interface was clunky, the automation was wonky, and it ended up taking me *more* time than doing it manually. I almost gave up on AI entirely after that experience, thinking it was all hype. But then I realized, much like finding the right university after a rocky start at my first one (Birmingham just wasn’t my vibe, and thank goodness for intuition!), it was about finding the *right* tools and systems that fit *my* needs and workflow. But here’s the truth – AI tools are becoming increasingly accessible, & many offer free trials or basic plans that are perfect for getting started (Canva Pro, for instance, has incredibly user-friendly AI features built right in, and there are plenty of free Chrome extensions that can boost your productivity). Plus, remember, you don’t need to become a tech whiz to use these tools effectively. Start small, choose one area you want to streamline (like scheduling, email management, or content creation), and experiment. You might be surprised how quickly you see results. Just like my six-year-old learning to ride her bike – sometimes breakthroughs happen when you’re not even trying too hard, but you have to persist & be open to finding what works for you.

Taking Ownership of Your Productivity Journey

Ultimately, the most powerful tool you have is your own commitment to working smarter, not just harder. AI is an incredible enabler, but it’s still down to you to take ownership of your productivity, to set your priorities, & to create a system that supports your unique life & goals. This is where personal responsibility truly comes in. As Michelle Obama reminds us, “We need to do a better job of putting ourselves higher on our own ‘to do’ list.” Yes, the system might have failed us in some ways (especially us millennials – juggling stagnant wages, the housing crisis, and the pressure to “have it all,” am I right?!), but we’re not just victims – we have the power to adapt, innovate, and create our own paths. My own journey, especially with four kids & a PhD, has shown me that while the path might be slower or different, taking ownership is non-negotiable. Reflections informed by my ongoing PhD research often highlight this theme: successful female entrepreneurs, regardless of their circumstances, consistently take responsibility for their own progress. If I don’t reach my goals, that’s on me, not on the system. Just like with Nisbett & George, my early entrepreneurial venture post-university, I learned that commitment & personal responsibility are everything. That venture taught me a valuable (and expensive!) lesson about the importance of aligned partnerships and really owning your part in a project’s success.

**1. Reflect & Assess:** Take a moment to honestly assess your current time management system (or lack thereof!). What’s one area where you feel the most friction or overwhelm? Where are you losing precious time & energy?

**2. Identify AI Solutions:** Explore the AI tools mentioned above, or do some research to find ones that specifically address the challenges you identified. Remember, AI doesn’t have to be complicated. Start with one small tool or feature. What’s one tool or feature you’re willing to try?

**3. Commit & Implement:** Block out just 15 minutes this week to experiment with a new AI tool or feature. This could be setting up a simple AI-powered to-do list, trying out a content generation tool, or exploring an AI scheduling assistant. What’s your Smallest Viable Step this week? Share it below!
